First things first: reliable tech is non-negotiable for virtual assistants.

When I started my VA journey, I invested in a MacBook Air. At the time, spending $1,100 on a laptop felt terrifying—but it turned out to be one of the best decisions I ever made.

Now, you don’t need to splurge on a brand-new laptop, but you DO need one that’s reliable, has enough storage, and offers clear audio for client meetings. Pair that with a strong, high-speed internet connection (or a solid hotspot), and you’re ready to roll.

Remember, as a VA, you’ll be working 100% online—slow internet and unreliable tech just won’t cut it!


Communication Tools

Next up: communication. How will you connect with your clients?

Tools like Zoom and Google Meet are perfect for video calls, whether you’re hosting a discovery call or checking in with a long-term client. And the best part? They’re FREE.

For everyday communication, email is your go-to. It’s professional, efficient, and perfect for sharing updates or discussing tasks. (Let’s be real—most meetings could’ve been emails anyway, right?)

The beauty of running your own VA business is that YOU get to decide how and when you communicate with clients.

Task and Time Management Tools

When you’re juggling multiple clients, staying organized is KEY. That’s where task and time management tools come in.

  • Clockify: A free time-tracking app that lets you log hours for each client. Perfect for hourly work when you’re just starting out.

  • Google Calendar: Your new best friend for scheduling meetings, tasks, and deadlines.

  • Trello, Asana, ClickUp, or Todoist: These tools help you manage tasks, track deadlines, and keep projects on schedule.

Clients hire VAs to stay organized—so getting comfortable with these tools will help you impress them and keep your business running smoothly.

Design Tools

Need to create a logo? Social media posts for clients? Marketing materials for your own business?

Canva is a lifesaver! With its ready-made templates, fonts, and design tools, you can whip up professional-looking graphics in no time. Plus, Canva’s Branding Kit feature makes it easy to save your colors, fonts, and logos for consistent branding.

If you’re a Social Media VA, Canva is especially handy for creating posts, carousels, and other visual content for your clients.
